Two developments made this practical this year. Second, large organisations stopped treating on-premises as the compromise option. When a company that size says local is the safe way to do this, a grower who has been told for three years that everything must go to the cloud is entitled to feel vindicated.
The practical version for you: a small computer in the office next to the shed, holding your food safety binder, three seasons of harvest and sanitation logs, your water test results, your buyer specifications and your supply agreement — and answering questions about them at seven in the morning whether or not the DSL is up.

The auditor arrives during pack-out, which is when they always arrive, because that is when there is something to observe. Historically the next four hours look like this: your food safety coordinator, who is also your line supervisor because you are a 300-acre operation and not a corporation, walks back and forth to a filing cabinet while the grader line runs short-handed.
With the records loaded on the shed machine, the sequence is different. The auditor asks for agricultural water testing on Block 12 for the 2024 season. The coordinator types the question, gets the three sample results with dates and the lab report file name, and prints them. The auditor asks how the operation handles a positive generic E. coli result — the coordinator gets back the actual written corrective-action procedure out of the binder, not a summary of what a procedure usually says. The auditor asks about employee hygiene training for the crew that packed on 14 September — training log, sign-in sheet, trainer name.
Then comes the traceback: take this case label, tell me every bin that went into it, which blocks those bins came from, who picked them and what day. That is the exercise that eats an afternoon. The lot code on the case ties to your pack records; the pack records tie to bin tags; the bin tags tie to blocks and crews. The assistant can walk that chain across your own files in minutes rather than hours — and because it is answering from your documents, every step comes back with the record it came from, which is exactly what the auditor wants to see anyway.
Assumptions, illustrative, for a 300-acre apple and stone fruit operation with its own shed: your food safety coordinator loses about 14 hours a week to record retrieval from August through October, and the alternative you have been considering is a seasonal records clerk at $24 an hour plus 12% burden for 14 weeks at 25 hours.

The second number is the one that matters more but is harder to bank: an audit downgrade from a records gap can cost you a retail programme for a season, and a chain buyer who drops you in July does not come back in August.
It will not fix bad records. If your bin tags are handwritten, half-legible and reconciled once a month, a local assistant gives you fast access to a mess. Traceability is a discipline problem before it is a search problem, and no machine invents the harvest log that nobody filled in on the hot Saturday in August.
It will not sign your audit or talk to the auditor. A human being — the coordinator, the shed manager, you — still stands there, still makes the judgement call about whether a corrective action was adequate, and still owns the answer. Treat what comes back on screen as a fast clerk, not as a verdict.

It also needs an owner. A machine in the shed office is a machine somebody has to back up, keep out of the condensation, and update when the season's files change. Do not put it in the cooler room, however much the name of this article suggested it. Give it to whoever already owns the food safety binder and put the backup on a drive that leaves the property in a truck once a month.
And be realistic about the boundary: the moment you want it to read email from a buyer or check a weather service, something is going over the wire. Decide deliberately which folders never leave and which ones are fine to connect.
The rule's compliance date was pushed to July 2028, so you have runway, but the records it will ask for — traceability lot codes tied through harvesting, cooling and initial packing — are the same records your buyer's audit already probes. Building the file discipline now, on your own hardware, means you are not scrambling in 2028.
Yes, and you should. The local assistant reads what your systems export — pack reports, bin tag files, lab result PDFs, the binder — and answers questions across them. It is not a replacement for a produce ERP, a grader line control system or your ag payroll. If a vendor tells you it is, they have not stood on a grader line.

The machine will be fine; the software on it improves and gets replaced. Buy the hardware on the expectation of three to four seasons, the way you would buy a shed computer for the scale system, and do not put the whole plan on hardware you are financing.
The first move costs nothing: list the folders that must never leave the property, and the ones you honestly do not care about. Most growers find the restricted list is four or five items, not everything. Then load exactly those four or five onto one machine and ask it the ten questions your last auditor asked. You will know inside an afternoon whether your records deserve the confidence you have in them.
