Knowledge
Answers questions from your hours, services, prices, policies, and documents rather than from the open internet — and says it does not know instead of inventing.
Ask: Where does the knowledge live, who edits it, and how long does an edit take to reach a live call? What does it say when a question is outside that knowledge?
Actions
Writes: books the slot, creates the contact, sends the payment link, fires the order, texts the confirmation. This is the layer that separates a phone answerer from a front desk.
Ask: Which of my systems does it write into directly through an API, which through a middleware step, and which not at all?
Escalation
Recognises the calls that must reach a person, warm-transfers or pages them, and logs who was reached and how long it took.
Ask: Who writes the escalation rules, me or you? Is every escalation timestamped and reviewable?
Record
Recording, transcript, structured summary, retention window, and an export button that produces a file you can keep.
Ask: Can I switch recording off per line? Who can see transcripts? What does the export contain if I cancel?
Administration
Per-line configuration, script versioning, a place to test a change before it answers a real call, and analytics that count outcomes rather than minutes.
Ask: Can I change a greeting myself at 6pm on a Friday, or do I file a ticket?
Integration depth is the whole evaluation
“Integrates with your calendar” covers three very different arrangements, and vendors are rarely asked which one they mean. Make them say it in writing, system by system, before the pilot starts.
Direct API write
The agent reads live availability and writes the booking itself, inside the call, and the caller hears a confirmed time. This is what you want and it is only possible where your system exposes a real API — Google Calendar, Outlook, Calendly, Acuity, HubSpot, Salesforce, Pipedrive, Zoho, Stripe, and most cloud practice-management and reservation platforms.
Bridged or middleware write
The agent hands the write to a connector, a Zap, or a small agent running on your own server because the system is on-premises. It works, but it is asynchronous: the caller is told the time is being confirmed rather than that it is booked. Fine for some workflows, quietly disappointing for others. Ask about the delay and what happens when the bridge is offline.
Structured task
There is no write at all. The agent produces a clean, complete task — caller, intent, requested time, everything needed — and someone on your team clears it. This is still a large improvement over voicemail, but it is not automation and you should not be sold it as one. Some legacy scheduling products genuinely offer nothing else, and the honest vendor tells you that before you sign.
One more integration question that is easy to forget: outbound texting. Confirmations, reminders and waitlist offers travel by SMS, and business texting in the United States runs over registered A2P campaigns with opt-out handling. If a vendor cannot describe how STOP is honoured, they have not shipped this before.

Build or buy
A competent engineer can wire a speech model to a phone number in a weekend, and the demo will be genuinely good. That demo is roughly ten percent of the product. The rest is the unglamorous middle: barge-in and endpointing so the agent does not talk over a caller who changes their mind mid-sentence; retries and idempotency so a calendar API blinking does not double-book or silently drop a booking; recording consent that changes at a state line; retention windows someone will eventually ask you to prove; per-line configuration so the after-hours script is not the daytime script; a staging path so a wording change can be tested before it answers a customer; and observability good enough to answer “what did it say to Mrs Alvarez on Tuesday” in under a minute.

The rules that apply to a phone answered by software
None of this is legal advice, and your counsel should see anything that matters. But these are the four areas where an AI receptionist deployment actually touches regulation, with the primary sources so you can read them rather than take a vendor’s word.
- Recording and consent
- Consent law varies by state, and several require every party on the line to consent rather than just one. The practical answer is to disclose recording in the greeting whenever it is on, and to keep recording switchable per line. Ask whether the vendor lets you turn it off at all — some cannot, because the recording is how their own quality process works.
- Outbound calling and texting
- Answering your own inbound line is not telemarketing. The moment the same platform places outbound calls or sends marketing texts, the Telephone Consumer Protection Act (47 U.S.C. §227) and the FTC’s Telemarketing Sales Rule apply, including Do Not Call obligations.
