The challenge
The MindCounsel is a telehealth psychiatry practice for adults in California and Hawaiʻi, led by a doctoral-prepared, dual board-certified psychiatric and family nurse practitioner. It focuses on careful diagnosis: adult ADHD evaluations, diagnostic clarification, second opinions and medication reassessment, with optional in-person visits in Corona and Honolulu.
New patients arrive with real questions before they book: whether their situation is a fit, how the evaluation works, which insurance applies in their state, and how scheduling differs between California and Hawaiʻi. Those questions come in evenings and weekends too, and a practice built around unhurried clinical time can't also staff the phone around the clock.
The CallSphere solution
CallSphere provides The MindCounsel with a behavioral-health AI agent across voice and chat. It answers non-clinical new-patient questions about services, the evaluation process and insurance, confirms which state the caller is in, and points them to the right scheduling path for California or Hawaiʻi, capturing the request so the practice can follow up.
The agent stays strictly administrative: it does not diagnose, assess symptoms or discuss medication. Anything clinical or urgent is routed according to the practice's escalation rules, so decisions about care stay with the clinician.
The results
The MindCounsel can respond to new-patient inquiries in both states at any hour, and people who have waited a long time for the right evaluation don't hit a voicemail at the moment they decide to reach out. The practice receives organized, state-specific requests and keeps its clinical time focused on patients.
