Wide-Open Territory: How Billings, Montana Contractors Qualify Callers by Distance and Scope Before Driving a Mile

Spread a map of Montana across the tailgate and draw a circle around Billings. Now keep widening it until it covers the territory your firm actually quotes work in. For most contractors based in Montana's largest city, that circle is enormous — Laurel and Lockwood, sure, but also Roundup, Hardin, Columbus, Red Lodge, maybe out toward Miles City for the right commercial job. Billings is the trade hub for a region where the next real city is hours away, and being the regional builder is both the business model and the daily headache. Because when the phone rings, the first thing you need to know is not what the caller wants built. It is where.

A kitchen remodel inquiry from the West End and a kitchen remodel inquiry from ninety minutes up the highway are two entirely different business propositions — different travel cost, different crew logistics, different minimum job size to make the windshield time pencil out. Yet both calls sound identical for the first thirty seconds, and both interrupt you identically while you are standing on a scaffold. The wide-radius contractor's phone problem is not just missed calls. It is that every answered call carries an unpaid qualification burden that in-town contractors never face, and skipping that qualification is how firms end up driving two hours to quote a job they would never profitably take.

The Two Questions Every Call Must Answer First

Before a Billings-based contractor spends a minute of estimating attention on a lead, two filters have to run. Where is the property — inside the tight radius where any decent job pencils, in the middle band where job size has to justify the drive, or out at the edge where only substantial projects make sense? And what is the scope — a project type you take, at a size worth mobilizing for? Run those filters early and your calendar fills with visits worth making. Run them late, or not at all, and you burn estimating days on drive time for work you decline anyway. Most firms run them inconsistently, because the filters live in the owner's head and the owner is not always the one answering — when anyone answers at all.

Teaching the Filters to the Phone Line Itself

An AI voice agent runs your radius-and-scope logic on every single call, identically, at any hour, without an ounce of the impatience a human develops by the fourth out-of-area call of the week:

    C --> D{"Which service band?"}
    D -->|"Billings and close-in"| E["Standard intake: scope, budget, timeline"]
    D -->|"Middle band, 30 to 75 miles"| F["Asks project size and scope in detail"]

    D -->|"Beyond the line"| H
    E --> I["Books estimate visit, grouped by geography where possible"]
    I --> J["Transcript and lead record to your inbox"]

The quiet win in that flow is the grouping note at the end. When location is captured on every lead as structured data, you can batch estimate visits by direction — a Red Lodge morning, a Columbus afternoon — instead of crisscrossing Yellowstone County reactively. Windshield time stops being random.

Everything Else the Wide Radius Breaks

Distance stresses more than qualification. Cell coverage gets patchy on rural sites, so callbacks promised from the field slip a day. A crew mobilized ninety minutes out cannot pop back for anything, so the office — often nobody — absorbs every supplier confirmation and sub scheduling call for the duration. Seasonal urgency piles on: Montana's building calendar is compressed enough that spring and summer inquiries carry outsized value, and hail or windstorms off the plains can spike repair calls overnight. Ranch and agricultural clients call at ranch hours, early and late, not between nine and five. And the region's word-of-mouth economy cuts both ways — in towns of two thousand people, the contractor who never answered the phone becomes a story that gets retold at the co-op for years.

Pricing the Fix Against One Wasted Drive (Illustrative)

Frame it two ways, both illustrative and industry-typical rather than measured. First, the offense: if your average project runs $25,000 to $150,000 depending on scope, a single additional job per year captured because a 7 p.m. call got answered pays for years of service at $19 to $49 per month. Second, the defense: every unqualified two-hour round trip your estimator does not drive returns half a day of billable attention; avoid even one a month and the agent has covered its cost before capturing a single new lead. Usage is billed at cost — about $0.15 per inbound minute, no markup — so a rural repair surge costs you dollars, not surprises.

A Week One, Honestly Described

Day zero: you define the service bands on a map, the job minimums per band, the intake questions, and who gets texted for what. The agent is live within 24 hours. Days one through seven — the free pilot, no credit card — it answers what your team misses, and every evening you read transcripts: the Roundup caller qualified and booked, the out-of-area caller declined politely, the supplier message that reached you before the delivery window instead of after. Week two, most firms widen its coverage to after-hours and full days. The Answer plan at $19/month handles Q&A answering plus your website chatbot; Act at $49/month adds the estimate booking and workflows that make the geography batching real. The agent speaks 57+ languages and hands any conversation beyond its brief to a human. Plans at /pricing; the general service overview at /ai-phone-answering-service; other trades at /industries.

Frequently Asked Questions from Big-Sky-Radius Contractors

Can the agent really apply different rules by distance?

Yes. You define service bands and per-band minimums, and the agent asks location early, applies the rules, and either proceeds to full intake or declines gracefully — the same way, every call.

What does it say to callers outside our service area?

Whatever script you approve — typically a courteous explanation of your coverage and, if you like, a referral suggestion. The inquiry is still logged, which tells you if demand justifies extending the radius.

We lose cell signal on rural sites. How do messages reach us?

Everything is captured centrally with transcripts, then pushed by text and email. When you come back into coverage, the whole day's calls are waiting in order — nothing depended on your phone ringing on-site.

Can it help us batch estimate visits by direction?

Yes, indirectly but powerfully: every lead carries a structured location, so grouping a Columbus-corridor day or a Red Lodge run takes one glance at the log instead of a pile of callback notes.

Do ranch clients calling at 6 a.m. get answered?

Around the clock, yes — early, late, weekends, holidays. Rural clients keep rural hours, and the agent keeps all of them.

Does the website chatbot follow the same service-area rules?

Yes. The chatbot on your site runs the identical location-first logic, so an evening visitor from Hardin or Big Timber gets the same qualification conversation the phone line would give — and becomes a logged lead with a mapped address instead of an anonymous page view.
