Ninety Summer Starts, One Insurance Coordinator, Fourteen Minutes a Verification: Agent Teams Turns Two Weeks of Benefit Breakdowns Into One Afternoon

Twenty-one hours of portal work sits between June 1 and the first bonding appointment

Ninety summer starts. One insurance coordinator. Fourteen minutes per verification. That is twenty-one hours of screen time that has to happen between the first week of June and the day each patient sits down for bonding, and it has to happen before the treatment coordinator can present a contract.

Every orthodontic practice in the country runs into the same wall in the same six weeks. School lets out, the exams that were booked in April convert, and records appointments pile up from the second week of June through the first week of August. Oral surgery has its own version: the third-molar surge from mid-June to mid-August, then again over winter break, with medical eligibility to check on top of dental. The work is not hard. It is just serial, and there is exactly one person doing it.

Fourteen minutes, broken down

Watch the insurance coordinator do one and the time is obvious. She logs into the carrier portal or pulls the electronic eligibility response the clearinghouse returns. She confirms the patient is active. She finds whether there is an orthodontic rider at all, because plenty of plans cover restorative and not ortho. She reads the lifetime orthodontic maximum and — this is the one that burns cases — checks whether a previous course of treatment already spent part of it. She checks the dependent age limit, which is commonly 19 and sometimes runs later. She checks the waiting period. She checks whether the plan pays a percentage at banding and then monthly or quarterly installments, or pays the whole benefit up front. She looks at the in-network fee schedule for the comprehensive code and the periodic visit code. If there is a second plan, she works out which is primary and how coordination of benefits runs. Then she keys all of it into Dolphin Management or Ortho2 Edge Cloud, builds the contract terms, and flags the case for the treatment coordinator.

Fourteen minutes is a good coordinator on a good day. The workaround every practice pretends is fine is to let the treatment coordinator present "estimated" numbers at the records appointment and fix them later. That is where the write-offs come from, and it is why parents call in October about a bill that does not match what they were told in July.

What Agent Teams changed on 2026's version of this job

The 2024 version of "let AI help with insurance verification" was one assistant doing one thing at a time, and you re-explaining the case to it every few minutes. That did not beat a competent coordinator. What arrived with Claude Opus 4.6 is different in one specific way. Agent Teams — released as a research preview alongside Opus 4.6 — means several assistants take different slices of the same list, work at the same time, and hand back one merged worksheet. The job stops being a queue.

For a list of ninety summer starts, that means one assistant works the Delta Dental cases, another works Cigna and MetLife, another takes the Blue Cross and Aetna cases, and a fourth handles every case with a second policy. They read the eligibility responses and the plan documents you already have, pull out the same twelve fields your coordinator pulls out, and produce one sheet with a column for every field and a flag on anything ambiguous. Your coordinator stops being the reader and becomes the reviewer.

Tuesday, the second week of June

At 8:05 the insurance coordinator exports the list of everyone with a records appointment in the next three weeks — usually thirty to forty names in that window. She hands over that list plus the eligibility responses and plan summaries already sitting in the practice's document folder. She goes and works the morning column at the front desk.

At 11:20 she opens one sheet. Sixty-one rows are complete and consistent. Nineteen are flagged: eight where the lifetime maximum shows partial use from a Phase I course years earlier, six where the plan document is silent on installment timing, three where the patient turns 19 mid-treatment, and two where the second plan's coordination language is genuinely unclear. Those nineteen get her afternoon, and they are the nineteen that were going to cause the October phone calls anyway.

By 3pm the treatment coordinator has firm numbers for every case presenting Thursday and Friday. Nobody says "estimated."

The arithmetic on one summer

Illustration figures, stated so you can swap yours in.

The $392 is not the reason to do it. Fourteen hours in the six weeks when your front desk is drowning is the reason, and so is what happens to the starts that used to slip. If four cases a season stop sliding past Labor Day because the contract was ready at the records appointment, and your average case fee is $5,900, that is roughly $23,600 of contracted fees arriving in the summer rather than the fall — money that starts its autopay run three months earlier. Running the reading itself costs less than the practice's monthly water delivery; frontier AI is roughly ten times cheaper than it was in 2025.

What you should not hand to the batch

Do not hand over your carrier portal passwords. Many payer portals prohibit automated access in their terms, and a locked account in the second week of June is a self-inflicted disaster. Keep the logins with a human; feed the assistants the eligibility responses and plan documents that come back.

Do not let anything submit a claim, change a fee schedule, or alter a ledger in Dolphin or Edge Cloud on its own. The sheet is a draft for a person to key or approve. Do not skip the phone call on the ambiguous nineteen — a carrier rep's note in the file is what you cite in an appeal, and a reading of a plan document is not.

And this does not touch the parts of your coordinator's job that are actually the hard parts: chasing the aging over 90 days, working continuation-of-treatment claims for transfers in, and arguing a downgraded benefit. Those need a person who can be irritated on the phone.

Frequently asked questions

Does this replace my insurance coordinator?

No, and if you try that you will find out in September. It removes the reading and the retyping from ninety cases and leaves her the exceptions, the phone calls, and the collections work she never has time for in July. Practices that have made this change generally report the same headcount doing more, not fewer people.

What about patients with two plans?

Route every dual-coverage case into its own batch and expect a human to finish most of them. Coordination of benefits language is where plan documents are vaguest and where getting it wrong costs the most, because you have quoted a family a number based on two benefits and one of them turns out to be secondary with a non-duplication clause.

We use Cloud 9, not Dolphin. Does that matter?

Not much. The reading happens against eligibility responses and plan documents, and the output is a sheet. Whether that sheet is keyed into Cloud 9, Edge Cloud, tops or Dentrix Ascend is a question about your own workflow, not about the assistants.

Is patient data safe in this?

Only under a business associate agreement with the vendor, on a business account with administrative controls — not a personal consumer login. Anthropic's enterprise governance update on 2 July 2026 added spend limits, alerts, and model defaults set at the organization level, which is the sort of control your compliance binder needs to reference.

Where to start on Monday

Take one carrier — the one that covers the biggest share of your summer list — and one week's worth of records appointments, maybe twelve patients. Have the batch produce the sheet. Have your coordinator do her normal fourteen-minute pass on the same twelve without looking at it, then compare field by field. You will know by Wednesday whether it holds, and you will have a list of exactly which fields it gets wrong.

The other half of June is the phone. Every start that gets verified still has a parent calling about the appointment, the down payment, and the emergency after a bracket comes off. CallSphere builds AI voice and chat agents that answer the practice line and web chat 24/7, book and reschedule appointments, and capture caller details so your coordinator comes back to a list rather than a voicemail box. It answers and books; the benefit reading and the contract stay with your team.
