The 2024 chatbot problem, and why this is not that

You tried this. In 2024 someone talked you into a chat box on the practice website, and inside a month it told a parent that her daughter's braces were covered at one hundred percent, quoted a $600 down payment that has not been the number since 2021, and confidently invented a Saturday appointment. Your treatment coordinator spent an hour cleaning up each one, and you turned it off. That instinct was correct at the time.

What is different in 2026 is not that the technology got smarter about your practice. It is that answers can now be restricted to your own approved documents, and the answer shows you which document and which page it came from. A grounded answer is one the assistant is only permitted to give if it can point at an approved document — so a wrong answer shows up as a missing source instead of a confident sentence. What "approved documents" means at the front desk

It is a folder, and it is smaller than owners expect. Your current financial policy. Your fee schedule by procedure code. The in-network fee schedules for the plans you participate with. A mother sends a web chat before the office opens: my daughter finished Phase I with you three years ago, we are ready for braces, and my husband changed jobs to a Cigna plan in March — what are we looking at?

The grounded answer that comes back does three things. It states the practice's comprehensive fee for adolescent treatment, citing the fee schedule effective 1 January 2026. Roughly $12,800 a year and sixteen coordinator hours, on assumptions you can check against your own adjustments ledger in twenty minutes. The write-off line is the honest place to look: pull twelve months of courtesy adjustments and count how many were made to hold a case after a bad quote. The questions that must never be answered by anything but a person

Anything clinical.
