Why general AI turns 10-50 into fifty and fire watch into a fire, what industry-trained models fix in guard reports, and the cash-flow cost of getting it wrong.

You tried this in 2024. Somebody on your team ran the night's radio traffic and a pile of reports through a general AI tool, and what came back said an officer had "ordered fifty units at the east dock" and recommended calling the fire department about a fire watch at a building with no fire. The account manager stopped using it inside a week and told everyone AI does not work in this business. He was right about the tool and wrong about the conclusion.
What changed in 2026 is that industry-trained AI became its own category. Not a general model with a clever instruction pasted on top — models actually trained on a trade's own documents, its abbreviations, its units and its edge cases. The reason that category exists is exactly the problem your account manager hit: general models are fluent in English and illiterate in contract security.
Read this list the way an outsider would. In a security company, "PO" means post orders, not purchase order. "IR" is an incident report, not infrared, even though your CCTV vendor uses the same two letters in the same email thread. "DAR" is the daily activity report and is pronounced as a word, so voice transcripts render it as "dar," "dark" or "there." "Hit" is a checkpoint scan, not an assault. "Fire watch" is a billable staffed patrol required when a sprinkler or alarm system is impaired — it does not mean there is a fire, and a model that treats it as an emergency will escalate a routine winter job every time a pipe freezes and a system gets valved off.
An industry-trained model, in this trade, is one that has learned that Class G means an armed license in Florida rather than a school grade, that Level III means a commissioned officer in Texas, and that a 10-52 is an ambulance request and not a quantity. Those are not clever tricks. They are the baseline vocabulary of every shift report your company files.
Keep going and it gets worse for a general model. A PERC card is an Illinois permanent employee registration card. "8 and 16 and 8" is the New York training sequence — pre-assignment, on-the-job, annual in-service. "Static post" and "roving patrol" bill at different rates. "Supervisory" and "trouble" are two different alarm panel conditions with two different responses in your post orders, and a model that treats them as synonyms will write a report that contradicts the panel history the fire marshal pulls later. "Muster point," "Knox box," "annunciator," "AHJ," "pass-down," "BOLO," "AAR" — every one of them is a word a general model will either flatten into something generic or, worse, confidently get wrong.
It is tempting to treat this as a quality complaint. It is a cash-flow problem. Your client-facing reports feed your invoices, particularly on accounts where you bill fire watch hours, special coverage, overtime approvals and post changes as separate lines. A monthly report that says "responded to fire alarm" where the log says "responded to supervisory signal, sprinkler system impaired, hourly fire watch commenced 1900" is not a wording nit — it is the difference between an invoice line the property manager approves and an invoice line she holds while she asks her own people what happened.

Three things, in order of how much they matter to your week.
First, the transcription itself. Radio traffic and voicemails from officers standing next to an HVAC unit at 2 a.m. are the hardest audio in your company. Faster, sharper speech recognition arrived in 2026 — NVIDIA's Nemotron Speech ASR runs roughly ten times faster than the older generation — but speed is not what fixes "10-50" becoming "ten fifty." Vocabulary does. A model that has seen your codes writes them as codes.
Second, the site glossary. This is the piece owners underestimate. Ten-codes are not standard across American security work — they vary by client, by site, sometimes by the retired police sergeant who wrote the post orders in 2009. A model trained on the trade knows the general shape; a per-account glossary knows that at your hospital account "Code Silver" is a weapon and at the mall account "Signal 3" means the loading dock roll-up is open again. That glossary is built once per account and corrected by whoever runs the shift.
Third, the units and the forms. Bill rate against pay rate, hours-to-overtime, the difference between an incident report number and a DAR entry, the fields your client's monthly report actually requires. General models do not know that a fire watch log needs an entry per hour or that a missing entry is the whole issue.
The sergeant at the cold storage account calls in at 0400 to report the sprinkler riser was valved off by the plumbing contractor and he has started rounds. Under the old workflow that becomes a voicemail, then a note, then a line in a monthly report written on the 28th by someone who was not there, and then a question from the client's accounting department in the middle of November about a line item labeled "fire alarm response."
Under the new one, the call is written up with the right words the first time: system impaired at 0347, hourly fire watch commenced 0400, rounds logged at 0400, 0500, 0600, contractor cleared the riser at 0730, watch secured. That paragraph goes into the shift log, the fire watch hours land on the right invoice line with the right label, and when the client's insurer asks for the impairment record in February it already exists. The account manager did not chase anything.

The write-off line is the one that stings: 1.2 percent of $410,000 is about $4,900 a month, and cutting it to 0.5 percent recovers roughly $2,900. Add the rework and the carrying cost and you are near $3,600 a month, or $43,000 a year, on nothing more glamorous than reports that use your trade's own words. Your numbers will differ; the shape rarely does, because disputed lines in this business are almost always disputed over what a report said.
When the glossary does not cover something, the correct behavior is to write the officer's words verbatim and flag it — not to guess. A model that guesses "10-33" at a site where 10-33 means something local has just invented a fact inside a document that may end up in a claim file.
Anything that is a legal or regulatory determination stays with a person. Whether an event is a reportable incident, whether a use of force occurred, whether an officer's conduct violated post orders, whether a fire watch met the requirement your AHJ expects — those are judgments, not vocabulary. And the site glossary itself needs an owner. If nobody at the branch maintains it, it goes stale the first time a client changes their radio protocol, and stale is worse than absent because it is confidently wrong.
You have to make them readable to the tool you choose, which is a different thing from publishing them. Ask any vendor three questions in writing: where the documents sit, who at their company can read them, and whether your material is used to train anything shared with other customers. If they cannot answer plainly, keep shopping.
