This is the quietest labor cost in a managed service provider, and it never shows up on a P&L line, because it is buried inside "onboarding" and "project time." It is also the one that generates a denied warranty claim eighteen months later, at the worst possible moment, on the machine belonging to the client's office manager.
Follow one laptop. The service tag is printed on the distributor packing slip, printed again on the box label, and etched on the pull-out tag under the chassis. From there a human moves it into:
That is four hand-offs per machine, and three of them involve a human reading alphanumeric characters off one screen and typing them into another. Zeros and the letter O. Ones and the letter I. Fives and S. On a 40-seat refresh you are asking a tired technician to do this 120 times before lunch.

Document readers used to need a clean scan. Feed one a phone photo taken at an angle in a dim closet, with glare from the overhead fluorescent and a finger in the corner of the frame, and you got mush. In 2026 that stopped being true. The current models read the artifact itself — a crooked photo, a fax that went through twice, a handwritten label on masking tape, a scanned page with initials in the margin — and pull the values out without anyone retyping the page first.
The practical definition for an MSP: you can now photograph the thing instead of transcribing the thing, and the useful data comes out the other side with a confidence flag on the characters it is unsure about.
The confidence flag is the part that makes this usable rather than terrifying. You are not replacing your technician's eyes; you are reducing what his eyes have to check from 120 fields to the six it wasn't sure about.
Same Tuesday, different morning. The tech slits the shrink wrap, lays the packing slip flat, and takes one photo. Then he walks the row of 22 boxes and takes photos of the shipping labels, four boxes to a frame. Total elapsed time: about six minutes.
What comes back is a table: service tag, model, order number, ship date, matched against the purchase order you sent to the distributor. Two tags come back flagged — one because the label was creased, one because the photo caught the edge of the pallet wrap. He checks those two against the physical chassis, corrects one character, and approves. The configuration records land in Autotask under the right client with the right agreement, the asset pages land in IT Glue with purchase date and warranty end, and the warranty registration list is ready to submit.
The same routine works on the discovery-visit photos. Forty closet pictures come back as a device inventory with model numbers, serials, port labels and the handwritten room-and-jack mapping transcribed into a table your engineer can correct in ten minutes instead of building from scratch in three hours.

About $1,150 a year on refreshes alone, which is not a business-changing number. The number that matters is the one you cannot put in the table: the denied next-business-day warranty claim on a wrongly recorded tag, on a Thursday, on the machine belonging to the person who signs your invoice. One of those a year does more damage to a renewal conversation than $1,150 of labor.
Do not let this run unattended on anything that changes money or access. Specifically:
Take the next inbound pallet. Photograph the packing slip and the box labels before anybody types anything, run it through, and compare the result to what your tech keys in by hand. You will know within one delivery whether it reads your distributor's slip format. If it does, the next thing to point it at is the pile of discovery photos from your last prospect visit — the one still sitting in a shared folder nobody has opened since the site walk.
Yes, and faxes are a real part of this business if you support dental practices, medical billing offices, or anyone still running a fax line into a document management system. A twice-faxed page with a stamp over part of the text reads acceptably now. Watch the fields where a smudge could turn a 3 into an 8 and make sure those come back flagged.
Careful here. Reading a client's scanned records means their data passes through a tool that you are responsible for under your business associate agreement or your CMMC obligations. Confirm where the processing happens and what is retained before you point this at anything belonging to a regulated client, and put it in your own written policies.
It can transcribe what is written on the label, including handwriting on tape. It cannot know that "Rm 214" on the second floor of the annex is what the client calls "the training room." That mapping lives in your engineer's head, and it belongs in your documentation system as a one-time correction.
