Here is the plain version. Being findable by another company's AI means publishing the facts a buyer's assistant needs — machine class, unit size, what is available and when, the rate structure, the delivery zone and the paperwork you require — in a form software can read without phoning your counter. That is a distribution channel now, the same way being on SpareFoot or ranking for "boom lift rental near me" was.

Nobody is asking you to build anything clever. The question is duller and more expensive than that: does the outside world know your four-week rate on a JLG 1930ES, or does it only know your phone number?

What a buyer's assistant can actually see about your yard today

Go and look. Most independent rental yards show, at best, a Google Business Profile with hours and photos, a "Request a Quote" form, and a category page listing equipment by picture with the words "call for pricing." Some post a rate PDF. Almost nobody posts availability, because it lives in Point of Rental, Wynne RentalMan, Texada, InTempo or Alert EasyPro, and the counter treats it as private.

Self-storage is a little further along and still leaves money on the table. The eleven facts that decide whether you make the list

For self-storage the list is shorter: unit sizes in stock with the current street rate and the promotion attached to each, whether the unit is climate-controlled, drive-up or interior with elevator, the administrative fee, the required tenant protection plan and its monthly cost, gate hours versus office hours, whether a lock is included, and whether online move-in issues a gate code immediately. That last one matters more than owners think. An assistant helping someone move Saturday morning will rank the facility that hands over a gate code at 11pm Friday above the one that says "come see us Monday." None of this exposes your system. It is what you would read aloud on the phone.

A facilities coordinator for a regional restaurant group needs three light towers and a 45 kW generator for a parking-lot repave, staged Sunday night. Refresh availability from the rental or management system, and mark anything you cannot confirm as "call to confirm" rather than guessing.

Credit stays human. An assistant can collect a certificate of insurance and a signed rental agreement; it should not open an account or set terms. Damage waiver decisions, lien and auction matters, machine condition disputes and anything involving a tenant's belongings stay with your people. And do not publish a rate you will not honor for the customer who shows up quoting it — the shortlist screenshot is now the negotiation.
