Sixty Rings a Day, One Person at the Counter

A three-press shop with a wide-format room takes somewhere around 60 inbound calls on a normal workday. That is not a busy day. That is a Tuesday in April. Half of them are quick: where is my proof, can you add 25 more, is the job ready for pickup. The other half are money — someone who wants a price on 500 18x24 signs, or a banner for Saturday, or a set of window graphics for a new tenant space.

The person answering that phone is also standing at the front counter, also walking orders back to prepress, also taking the FedEx pickup. The estimator who could actually answer the pricing question is at the Zund cutting an acrylic run, or on the phone with the landlord about a permit. What It Should and Should Not Quote

The correct design for a print or sign shop is narrow. Let the agent quote only from your standard catalog: 13 oz scrim banners with hems and grommets by the square foot, 4mm coroplast yard signs by quantity break, 3mm ACM panels, standard business card and flyer runs on your house 100# gloss text, cut vinyl lettering by square foot. Those are the calls that are eating your counter person, and they are the ones with an unambiguous answer.

Everything else gets a booked callback, not a guess. Channel letters, pylon refaces, anything needing a permit or a site survey, anything with a fabric structure or an electrical connection, anything for a national account with contract pricing. The agent's job on those calls is to take the address, the sign type, the frontage, whether there is existing power, and put a 20-minute site survey on the install crew lead's calendar. That is a better outcome than a voicemail and a much better outcome than a made-up number.

The other thing it should do on every call is the artwork conversation, because that is the single biggest source of delay in this trade. Print-ready PDF, type outlined, quarter-inch bleed, at least 150 dpi at final size for wide format, and a warning that a logo pulled off a website will not enlarge. An angry reprint call. Credit and terms. Net-30, purchase orders, tax exemption certificates for resale — especially in states where installation labor is taxed differently from the goods — all human. Same for any national-account or franchise-program pricing, which is contractual and never in your standard catalog.

And rush promises. The agent can say what the schedule shows; it should not promise Saturday delivery on a laminated job when nobody has checked whether the laminator is down. Give it read access to the schedule, not authority over it.
