How many of the trucks sitting in your yard right now have an open campaign against the VIN?

Not a guess. The actual number. If the honest answer is "the warranty administrator checks when something looks like it might be covered," then you are billing customers for work a manufacturer would have paid for, doing campaign-eligible repairs as customer pay, and eating your own comebacks because nobody noticed you did the same job on the same unit eleven weeks ago.

## The check nobody was ever going to do 240 times a month

Here is the check, done properly, on one unit. Pull the VIN off the door jamb or the repair order. Open the manufacturer's portal — PACCAR Solutions, Navistar OnCommand Connection, the Volvo or Mack side, Detroit Connect, whichever the unit is. Look at base coverage and whether an extended plan is live. **Live coverage you were about to bill.** The obvious one. A three-year-old day cab comes in for an EGR cooler and nobody realizes the extended engine plan is still current for another four months. When the check costs three cents and the miss costs several hundred dollars, you do not need to be right about the hit rate to justify running it on everything. ## Where this is still wrong often enough to matter

Coverage data goes stale. The manufacturer portals are the truth, and anything sitting outside them is a copy of the truth with a date on it. Extended service contracts and third-party warranty companies are frequently not readable at all. Do not promise your service manager that this covers everything.

Goodwill is a relationship, not a rule. Whether the manufacturer's rep will cover a failure at 14 months past the end of coverage on a fleet that buys twenty trucks a year is a conversation between two humans who know each other. And the check cannot file the claim. Filing is still a person writing a defensible complaint, cause and correction, attaching the right documentation, and knowing the claim windows. A claim narrative written badly gets denied whether or not a computer found the coverage.

Have someone build a check that runs on every new repair order and answers one question: has this shop worked on this VIN in the last ninety days, and on what system? Put the answer on the repair order where the writer sees it before he quotes.
