It is 6:50 on a Tuesday morning and the pallet from TD SYNNEX is sitting inside the roll-up door. Twenty-two Latitudes for the Kaufman & Associates refresh, one firewall, and a box of docking stations. Your field tech has coffee in one hand and a box cutter in the other, and by 9:00 he needs every one of those service tags to exist in three different places. He will type them by hand. He will type most of them correctly.

## The uglier paper nobody talks about

Service tags are the tidy end of this problem. The messy end is what your engineer brings back from a discovery visit at a prospective client — the one whose previous IT guy retired in March:

## What changed in 2026, and what the receiving bench looks like now

Document readers used to need a clean scan. Feed one a phone photo taken at an angle in a dim closet, with glare from the overhead fluorescent and a finger in the corner of the frame, and you got mush. In 2026 that stopped being true. About $1,150 a year on refreshes alone, which is not a business-changing number. The number that matters is the one you cannot put in the table: the denied next-business-day warranty claim on a wrongly recorded tag, on a Thursday, on the machine belonging to the person who signs your invoice. ## The things you should still put human eyes on

Do not let this run unattended on anything that changes money or access. Specifically:

- **The agreement true-up.** A device count that flows straight from a photo into billing is a device count that will eventually invoice a client for a laptop that is still in a box. Keep an approval step before anything becomes billable.
- **Handwritten credentials from a previous provider.** Read them, transcribe them, then rotate every single one. The transcription is the easy part; the assumption that the old passwords are still safe is the dangerous part.
- **Signed documents with margin changes.** The reader will faithfully transcribe a handwritten alteration next to somebody's initials. Whether that alteration is binding is a question for your attorney, not your documentation system.
- **Anything that is going into a compliance record** for a client under CMMC or HIPAA, where the asset inventory is evidence and needs a named human who signed off on it.

## Where to start this week

Take the next inbound pallet. Photograph the packing slip and the box labels before anybody types anything, run it through, and compare the result to what your tech keys in by hand. ### What about the client's own documents?

Careful here. Reading a client's scanned records means their data passes through a tool that you are responsible for under your business associate agreement or your CMMC obligations. ### Can it label the wiring closet photos by room?

It can transcribe what is written on the label, including handwriting on tape. It cannot know that "Rm 214" on the second floor of the annex is what the client calls "the training room." ### Is this worth it for a five-person shop?
